Date-based Calendar Management for Event Professionals: Tracking Availability and Inquiry Status
Moritz Fähse
TL;DR: Please enhance Moxie's calendar management for event professionals, including customizable status tracking for dates (Free, Requested, Booked), automated status updates to reflect the "Requested" status, and email notifications that include the status of inquiries. These features would prevent double bookings, streamline workflows, and improve organization, making WithMoxie the ideal solution for the wedding and event services industry.
Dear WithMoxie Team,
As much as I could easily jump ship to more event oriented software like Dubsado or HoneyBook, I simply can’t bring myself to do it — Moxie is just too much fun to use! With its amazing interface and all the ongoing improvements, managing a business feels enjoyable with every click. Instead of waiting for other tools to catch up to Moxie, I would much rather see Moxie integrate features tailored for date-based event professionals like me.
I would like to submit a feature request that I believe would significantly open up the platform and attract professionals from a whole additional industry. As an event professional, effective calendar management is crucial for my business operations. I need a system that not only helps me organize my bookings but also allows me to track the status of each date seamlessly. For a wedding photographer, avoiding possible double bookings is paramount; every wedding is a once-in-a-lifetime event, and any scheduling conflict could lead to a loss of trust from clients and damage to my reputation. Therefore, it’s essential to have a reliable system in place that ensures clarity and prevents any accidental overlaps.
Here are the specific features I would like to request:
1. Calendar Status Tracking
I would greatly appreciate the ability to mark each date in my calendar with custom statuses, such as:
* Available: The date is available for booking.
* Requested: A potential client has inquired about this date.
* Booked: The date is confirmed with a client.
This feature would allow me to quickly assess my availability and effectively prevent double bookings.
2. Inquiry Management:
I would like the system to automatically update my calendar to reflect the "Requested" status when a potential client contacts me about a specific date. This automation will ensure accurate logging of inquiries and streamline my follow-up process.
3. Email Notifications:
It would be beneficial for the notification email I receive to include the status of the requested date (e.g., "Requested") and to highlight possible conflicts directly within the email.
A comprehensive calendar management feature should enable users to mark each date with customizable statuses like "Available," "Requested," and "Booked," allowing for quick assessment of availability at a glance. This system would automate status updates based on client inquiries, changing potential bookings to "Requested" when clients express interest in specific dates. Additionally, the ability to log these inquiries directly into the calendar would keep all client communications organized and easily accessible. This streamlined approach would prevent scheduling conflicts and enhance overall organization, simplifying time management for event professionals.
Integrating these features would position WithMoxie as the ideal solution for the entire wedding and event services industry. By addressing the needs of various professionals—such as DJs, videographers, photographers, event planners, and caterers—WithMoxie could offer a platform that simplifies booking management across the board and help avoid scheduling conflicts during busy wedding seasons. This approach would not only enhance user experience but also solidify WithMoxie's reputation as a preferred tool for all event service providers.
These features would be highly beneficial for freelancers offering a variety of services, such as web agency owners specializing in branding, web development, SEO, advertising photography, and content creation. For these professionals, certain days demand precise planning—especially those involving client photoshoots or project deadlines. On days with scheduled photoshoots, it’s crucial to keep that day clear of other appointments to ensure full focus on the client. By enabling users to mark these dates as "Requested" or "Booked," they can effectively manage their schedules and prevent conflicts with other commitments. Furthermore, logging inquiries about potential project dates directly into the calendar will help freelancers maintain organization and clarity in their workflows.
These enhancements would significantly improve WithMoxie's functionality for event professionals relying on effective calendar management. Thank you for considering this feature request; I look forward to your response and really hope to see these functionalities added in the future.
Best regards,
Moritz

As someone who used to book clients in this manner, AND still work with others who do, being able to target this niche could be huge. I've seen the back-end for a long-standing DJ-specific tool ... and it's absolutely archaic. So I've been bragging on Moxie, but the DJ-specific platform has features that help with booking events as described above.
If looking at this route, I'd also recommend a way to assign a date to a specific contractor, with the ability to assign multiple contractors per date. (Or service type).
An event planner may offer florals, setup, takedown. And be able to service multiple clients in one day depending on what services are used at each location.
A DJ company may send out 5 DJs to different clients on a given day.
An invitation designer may want to block of a start date or deadline day to avoid over-scheduling.
A photog may have a morning client and an afternoon client.
That's a long way of saying that a day would also need to be able to have multiple customizable "slots" available.
